Job Title: Administrative Assistant

Responsibilities:

 •Facilitating office communications and operations
 •Managing customer emails, office phone, and social media of the company
 •Preparing Business Plans and Grants as part of the company
 •Preparing Progress Reports to the Investors, Funders, and the Board
 •Assisting in the Hiring Process within GCS and managing HR, from contracts to leave days
 •Getting all new employees oriented and trained in GCS operations
 •Developing checklists and calendars to ensure team is fully prepared for field trips
 •Knowing where and what every employee is up to, and re-allocating job responsibilities when necessary
 •Delegating tasks to the team

Requirements:

 •Fluency in both Swahili and English
 •Must possess advanced computer skills, especially in Microsoft Office, Microsoft Excel, and gmail
 •Able to operate and plan independently with minimal direction
 •Excellent interpersonal skills
 •Advanced written and verbal communication skills
 •Excellent organizational and time management skills
 •Very precise and detail oriented
 •Must be able to multi-task and manage one's time
 •Must be a driven, motivated, and sharp individual
 •Tanzanian National
 •Bachelor's Degree or diploma in business, project management, or law
 •3+ years of experience as administrative assistant or office manager

Bonus:
 •Experience in Law and preparing contracts, letters, and agreements

Job Title: Office Administrator/Staff Housing Manager/Project Support Staff (One Post)


Duties:

Office/Staff Housing Management:

•Manages petty cash payments and record-keeping/reporting

•Organizes the office, keeps office supplies stocked and equipment in good repair

•Makes arrangements and prepares office for meetings

•Oversees activities of support staff and sub-contractors

•Greets guests and responds to enquiries

•Prepares tea and coffee each morning. Completes day to day cleaning of the office, kitchen, public restroom, and washes linens as needed.

Support Staff Management:

•Manages housekeeping,  security and driving staff

•Addresses any concerns or issues brought forth by support staff

Project Support:
•Works with the Project Team to keep accurate records of expenditures and manage project budget

•Organizes meetings and visits for project staff and stakeholders

•Aids in organizing project vehicle service

•Completes printing, binding and copying jobs as requested by project staff

•Travels to various project work sites as needed

•Performs other duties as requested by Project Director and Project Manager

Qualifications & Skills:

•The preferred candidate will be from the Mwanza area, have excellent English and KiSwahili skills, a business degree including computer training (especially Word, pdf, Excel and Power Point programs), and administrative experience.
