Office Assistant Job Opportunity at ADD International in Tanzania

Job Title: Office Assistant

Job Description:

Duties and responsibilities:

Receive all visitors with courtesy and decorum, ascertain the nature of visitors and relay information to his/her line manager or Country Director
Ensuring guests sign the guest book and distribution of awareness materials to visitors including flyers, brochures etc.
Assists and ensures that there is efficiency in day-to-day operations such as ensuring availability of office supplies, cleanliness, messenger services and other related functions
In coordination with Finance and Administration Officer, engage in procurement of monthly office expendables
Receive and arrange for internal distribution of all letters to respective departments
In coordination with Programme and Personal Assistant ensure and maintain proper documentation of all correspondences
In collaboration with Programme and Personal Assistant, assist in organizing internal and external meetings
Properly manage and prepare office information confidentiality
Read and document all disability, related information in newspapers; this includes documenting! filing newspaper cuttings, scanning and sending them to the monitoring and evaluation coordinator
Perform any other related duties as may be assigned by his/her supervisor


Qualification and experience:

Minimum qualification- Form IV with good pass in English and Swahili
Holder of Certificate in Secretarial Services or other professional qualification in office management related fields
Two years and above experience of working as front desk officer/Office assistant in local and /or International NGO
Be conversant with administrative and front office functions preferably from a reputable organization/ institution or department;
Elementary knowledge and experience in minor procurement of goods/services processes and ability to keep both office and its surroundings clean
Knowledge of disability rights and experience in undertaking disability issues
Ability to work in a diverse team and unquestionable care of visitors. Effective sign language communication will be an added advantage
Proper knowledge of record keeping/filing and file movements
Basic knowledge and competence in Information and
Communications Technology (ICT) particularly in Microsoft Office applications.

Job Description:

Duties and Responsibilities:

To prepare working schedule for junior secretaries.
Checking office registers to ensure that they are well maintained.
To ensure that office letters and firms are properly filed.
To be responsible for safe custody of documents in the office.
To arrange meetings within the office and write minutes and follow up implementation of issues raised
To arrange transport for the officer he/she serving.
To ensure that files are promptly and time handled.
To ensure that letters leaving the office are correct and neat.
To supervise and ensure that work in the office is properly done.

Qualification and Experience

Holder of Diploma in Secretarial from recognized Institution.
Computer literacy with work experience of more than 5 years.
