Job Title: Program Assistant

Duty Station: Shinyanga

Duties:

• Manage regional Office program activities by organizing meetings, sending invitations and preparing materials for meetings
• Coordination of community outreach activities as well as overseeing trainings
• Support in the compilation of reports and publications to the Regional Office
• Keep abreast of the AGPAHI programs and ensure that activities are implemented as per work plan and  set calendar Include tracking of work plans for AGPAHI supported
• Ensure all files and documentation – including reports, proposals, and minutes are well organized digitally as well in hard copy and regularly updated
• To ensure that advance request and retirement are done on time as per organization policy
• Assist in preparing of Memos and draft letters and undertake basic correspondence on behalf of the program team in Shinyanga
• Assist in creating and maintaining activities schedules for the Regional Program Coordinator
• Support program team and other management level staff upon request of the Regional Program Coordinator.

General Responsibilities

• Successfully implement above responsibilities and assigned activities ( and associated budgets) in work plans consistent with AGPAHI policies
• Contribute effectively to planning, monitoring, reporting and information dissemination of AGPAHI’s Programs work
• Comply with and foster adherence to the established AGPAHI programs implementations regulations, guidelines and procedures
• Participate actively in Organization- wide learning and other joint activities
• Undertake any other lawful tasks as may be assigned by the Supervisor

Qualifications, Skills and ability:

• Medical education background with relevant administrative skills
• At least two years’ experience related to the post
• At least two years’ experience working with NGO s implementing HIV/AIDS projects
• In addition to education and previous experience, she/he the ability to multitask, strong attention to detail, professional and enthusiastic personality, self-motivation and good communication skills.
